Photography and Media Consent
This Photography and Media Consent page explains how VET Sector Awards photographs, films and records its events, how images and recordings are used, and how you can raise a concern or ask not to be featured. It applies to the awards ceremony and any associated functions, and to images and video submitted with nominations or supplied by finalists, winners and sponsors.
Events may be photographed and recorded
The awards ceremony and related events are professionally photographed and may be filmed, live-streamed or recorded. By attending, you acknowledge that you may appear in photographs, video and audio captured at the event. Signage and event communications will remind attendees that recording is taking place.
How we use images and recordings
Photographs and recordings are used to document and promote the awards: on this website, in CAQA Groups publications and newsletters (including The VET Sector), on social media, in media releases and in promotional material for future award programs. Images are selected with care, captioned accurately and never used in a way intended to embarrass or mislead. We do not sell event images to third parties.
Finalist and winner publicity
Publicity is part of the recognition the awards provide. By entering, finalists and winners consent to the publication of their name, organisation, category and a short achievement summary, together with photographs from the ceremony and any headshot or organisational imagery supplied with the entry. If particular details in an entry are confidential, mark them clearly and they will not be published.
Material submitted with nominations
Where an entry includes photographs, video or other media, the entrant confirms they hold the rights and any consents needed for the organiser to review the material for judging and, for finalists and winners, to use it in awards publicity. Entrants remain responsible for obtaining consent from identifiable people shown in submitted material.
If you prefer not to be featured
Attendance does not oblige you to appear in promotional coverage. If you prefer not to be photographed, tell the awards team before the event or speak with staff at the registration desk on the night, and reasonable steps will be taken to accommodate you. If an image of you has already been published and you would like it removed, contact us and we will remove or replace it wherever the image is within our control, normally within five business days.
Children and people requiring additional care
Where a nominee, finalist or attendee is under 18 or requires a substitute decision-maker, we ask that a parent, guardian or authorised representative provides consent before identifying images are published. If you are aware of a published image involving a minor for which consent was not properly given, contact the awards team and it will be removed as a priority.
Live streaming and recordings after the event
Where the ceremony is live-streamed or recorded, the recording may remain available after the event on this website and associated CAQA Groups channels so that the sector can revisit the announcements. Requests to edit or remove a segment featuring you are handled in the same way as photograph removal requests, and we will act wherever the recording is within our control.
Third-party media
Journalists and media organisations may also attend awards events. Content captured by independent media is subject to their own editorial policies, and while we will pass on any concern, we cannot control material we did not create or publish.
Storage and privacy
Original photographs and recordings are stored securely and access is limited to the awards and communications teams. Personal information connected with images is handled in line with our Privacy Policy. No payments are taken through this website and no fee is ever charged to feature in, or be removed from, awards coverage.
